QR Codes for Small Businesses: 10 Smart Ideas and How to Make Them Free

Practical ways shops, restaurants and freelancers can use QR codes for menus, WhatsApp orders, Wi-Fi, reviews and payments, plus design tips that make codes scan reliably.

QR Codes for Small Businesses: 10 Smart Ideas and How to Make Them Free

QR codes are everywhere again, and for good reason: every smartphone camera can scan them without an app, and they turn a printed poster, receipt or product box into a direct link to your business. Best of all, creating them is free. Here are ten practical ideas and the design rules that make them work.

Static vs dynamic QR codes

Before starting, understand one important difference:

  • Static QR codes store your information directly inside the pattern. They are free forever, never expire and do not depend on any company.
  • Dynamic QR codes store a short redirect link owned by a QR service. They allow scan statistics and changing the destination later, but they usually require a paid subscription and stop working if you stop paying.

For most small businesses, static codes are the safer and cheaper choice. The GoToolz generator creates static codes.

10 ways to use QR codes in your business

1. Digital menus

Restaurants and cafés can link to a PDF or web menu that is easy to update, saving printing costs.

2. WhatsApp orders

Link directly to a WhatsApp chat with a pre-filled message like "Hi, I'd like to place an order". Customers tap Send, and you have a new lead.

3. Wi-Fi for guests

A Wi-Fi QR code lets guests join your network by scanning, without asking for the password or typing it wrong.

4. Google reviews

Link to your Google Business review page on receipts and counters. More reviews help you rank higher on Google Maps.

5. Social media follow

Put a code linking to your Instagram, TikTok or Facebook page on packaging and shopping bags.

6. Product information

Link to manuals, ingredient lists, warranty registration or setup videos from the product box.

7. Business cards

A vCard-style code or a link to your website makes it effortless to save your contact details.

8. Payments

Many banks and wallets generate their own payment QR codes. Display them clearly at checkout.

9. Event check-in and feedback

Link to a registration form, an event schedule or a feedback survey.

10. Real estate and car listings

Put a code on "For Sale" signs linking to photos, a video tour and your phone number.

Design tips for codes that always scan

  • Keep strong contrast: dark code on a light background. Inverted or pastel codes may fail on older phones.
  • Leave a quiet zone: keep a blank margin around the code (the generator adds one automatically).
  • Size matters: at least 2 × 2 cm for close scanning; larger for posters viewed from a distance. A rule of thumb is scanning distance ÷ 10.
  • Use higher error correction if the code might get dirty or if you place a small logo on it.
  • Shorter data = simpler code. A short URL produces a less dense pattern that scans faster.
  • Test before printing: scan it with at least two different phones. You can also test with our scanner:

Measure results with UTM links

Static codes cannot count scans, but Google Analytics can if you add UTM tags to your link. For example, use utm_source=flyer&utm_medium=qr for codes on flyers and utm_source=menu&utm_medium=qr for menus, then compare traffic in your analytics.

Print formats

Download SVG for professional printing (it stays sharp at any size) and PNG for documents, social media and websites.

Frequently asked questions

Do free QR codes expire? Static codes never expire because the data is inside the code itself.

Can I change the link after printing? Not with a static code. Point it to a page you control (like your website) so you can update that page later.

Is it safe for customers to scan QR codes? Encourage customers to check the link preview before opening it. Only print codes that point to your official website or accounts.

A well-placed QR code is one of the cheapest marketing tools available. Create one today and put it where your customers already are.
